Substitute Guide

With the continuing growth in the Ceres Unified School District, our need for qualified substitutes remains high. We appreciate the service that you provide to our teachers, staff, and students.

Certificated and classified substitutes must report to the Personnel Office to complete the process to become a substitute. Substitutes may sign up from July 1 through April 1. The need for substitutes in the summer months decreases, so we do not sign up new substitutes during that time period.

The Personnel Office has an automated substitute finder. The substitute finder automates the staff absence reporting and substitute assignment process. The system begins calling from a predefined list of qualified substitutes in the priority determined by the district. Teachers or classified employees can leave recorded voice instructions with each absence called into the system. Messages are recorded and played back to the substitute in the employee's own voice as the substitute reviews the offering.

Between 5:30 a.m. and 9:00 a.m. most substitutes will be contacted by telephone, via the SubFinder. Substitutes need to have paper and pencil ready to write down information regarding the assignment. Please refer to the district maps and directory, provided by the Personnel Office, to avoid additional telephone calls for directions.

You should be ready to respond quickly so you can arrive 15 minutes before the time of the assignment. When you receive a late call you should report to the site as soon as possible. Notify the Personnel Office immediately if there is a problem getting to the site on time.

Every substitute must have the job number assigned by the machine to be paid for the time worked. Be sure you listen to the machine until you are given a number.

Do not take a job from a site or person without contacting the machine or the Personnel Office to receive the job number.

Classified Substitutes

You will be responsible for tracing your time on a yellow card that is provided to you from Ceres Unified School District. The cards will be available at each work site and at the Receptionist Desk in the District Office. You are solely responsible for your time being turned in. Do not put someone else in charge of your time cards. If the cards are not turned in on time, you will not be paid on time. NO EXCEPTIONS!!! You can bring your cards to the district office and place them in the box at the receptionist desk. The 15th of each month is the last day that can be recorded on a card. In order to be paid for the time worked through the 15th of the month, your card must be turned in no later than the 17th of each month.

Certificated Substitutes

You must sign in on the sub logs at the site. It is your responsibility to sign the log, indicating the person you are subbing for, date and your name. You must have a job number to be paid for the position.
